Position Title: Executive Assistant / Office Manager

This is a unique opportunity to combine executive support, office management, and project coordination within a dynamic entertainment company. As the Executive Assistant / Office Manager, you’ll work directly with company leadership while serving as the operational backbone of a small, highly collaborative team. From managing calendars and coordinating travel to overseeing office operations and supporting special projects, no two days will look the same.

Salary Range: $65,000 – $75,000+ / Year DOE

Responsibilities:

  • Managing calendars and scheduling appointments
  • Answering phones and routing calls appropriately
  • Preparing notes for meetings and calls
  • Coordinating travel arrangements including flights and accommodations
  • Preparing daily schedule sheets
  • Filing documents and managing office supplies
  • Handling various personal and professional matters
  • Anticipating needs and demonstrating resourcefulness
  • Overseeing accounts payable and receivable
  • Managing company contact lists and storage units
  • Maintaining office facilities by coordinating with third-party vendors
  • Handling incoming and outgoing mail and shipments
  • Assisting with administrative needs of the owner’s coffee shop
  • Coordinating meetings and travel itineraries for executives
  • Supporting staff on various projects as needed

Requirements:

  • 3+ years of administrative experience in an office setting
  • High school diploma
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Knowledge of Apple products
  • Experience in any industry is acceptable; a passion for the music or comedy industry is advantageous
  • Some experience in entertainment or events is preferred
