Job Description
Position Title: Payroll & Tax Specialist
Payroll and payroll tax rarely sit in one seat, and this position combines both across several companies within a billion-dollar organization. The Payroll & Tax Specialist runs weekly hourly and semimonthly salary payrolls and manages the administrative side of payroll tax through ADP, including the daily tax wire and the issues flagged in ADP SmartCompliance. Some weeks lean toward tax and others toward payroll, which keeps the work varied and requires sound analytical judgment.
The company is part of a publicly traded portfolio that continues to grow by building energy infrastructure and AI data centers across wind, solar, gas, and electric work. The environment has a family feel, with a founding family still involved, a friendly connection between field and office staff, and a payroll team that socializes and builds relationships outside of work. Training is provided, and the team encourages cross-training in areas such as prevailing wage and union payroll. The role is fully onsite, with start times of 7:00, 7:30, or 8:00 AM, and a nice office with free snacks. Jeans are part of the dress code, with a professional standard.
Salary Range: $75,000 – $82,000 / Year DOE
Payroll & Tax Specialist Responsibilities
- Process weekly hourly payroll, with Monday through Wednesday carrying the heaviest volume, and process semimonthly salary payroll
- Manage payroll for several companies, moving between hourly and salary pay types and between entities within the same week
- Import time from multiple timekeeping systems and use Excel for work completed outside the primary payroll system
- Send the daily tax wire to ADP each morning

- Handle the administrative side of payroll tax with ADP, with filings completed through ADP
- Research the requirements of individual state tax websites, recognizing that each state operates differently
- Support the team in reworking payroll and tax processes from 2024 forward and completing new company transitions due by December 31
- Cross-train with the team on other areas of the department, including prevailing wage and union payroll
Payroll & Tax Specialist Requirements
- Payroll tax experience with ADP
- Payroll processing experience, as this position runs payrolls in addition to managing payroll tax
- Multistate payroll tax experience, with an understanding of SUI and employment tax that extends beyond system super-user knowledge
- Advanced Excel skills beyond pivot tables, including VLOOKUPs and linking data from several workbooks
- Approximately 3 years of relevant experience, with consideration given to candidates with 2 years
- Strong analytical ability and attention to detail, with the capacity to work through unfamiliar systems and state-by-state differences
- Ability to multitask across multiple companies and pay types in a high-volume setting
- Comfort with systems and time imports
- Ability to work onsite, with start times between 7:00 and 8:00 AM

- Flexible start time of 7:00, 7:30, or 8:00 AM

- Free snacks in the office
- Team events, including a Christmas party and potlucks
Candidates who bring ADP payroll tax experience and a talent for untangling multistate requirements are encouraged to apply today and take on a role that keeps both payroll and tax work in motion.
