Job Description

An estate litigation firm is seeking a detail-oriented and proactive Legal Assistant to join their fast-growing, high-performing legal team. Supporting two Paralegals, this role plays a critical part in ensuring timely case progress, document delivery, calendaring, and case management system accuracy. You’ll manage high volumes of litigation-related administrative tasks, ensure workflow timelines are met, and be a driving force behind keeping matters organized and on track. Salary Range: $25 – $30 / hourly

Legal Assistant Key Responsibilities:

  • Assist assigned Paralegals with litigation case management
  • Track and maintain case timelines, task lists, and matter milestones
  • Ensure documents are mailed timely and case deadlines are met
  • Review cases weekly for overdue tasks, missing billable time entries, or case delays
  • Monitor document templates, legal deadlines, and court-related filings
  • Participate in weekly status meetings with Paralegals and Case Managers
  • Coordinate scheduling and calendaring using case management software
  • Ensure client goal meetings are scheduled within two days of retention
  • Handle day-to-day team communication through Slack, SharePoint, and Outlook
  • Utilize CMS, SharePoint, and Adobe to organize files and prepare case documentation
  • Support accurate time entry, billing, and documentation tracking
  • Participate in performance reviews and workflow audits for process optimization
  • Complete a minimum of 10 hours of continuing legal education annually
  • Engage in case review meetings to ensure accuracy, efficiency, and ethical compliance

Legal Assistant Requirements:

  • 1–2 years of Legal Assistant experience in civil litigation
  • Strong understanding of legal administrative duties
  • Bachelor’s degree or equivalent professional experience
  • Advanced proficiency in Adobe Acrobat Pro
  • Proficient with Microsoft Office Suite
  • Experience using case management software
  • Excellent writing, organizational, and project management skills
  • Experience in Probate Administration is a huge plus
  • Familiarity with ClickUp, Asana, or similar task/project management tools
  • Experience with e-discovery software or Trial Director is preferred
