Job Description

A growing firm is seeking a hands-on Small Company Controller to take full ownership of its accounting, financial reporting, payroll oversight, contract administration, and HR support functions. This highly visible role will manage the complete accounting cycle, oversee project billing and cash flow forecasting, partner with an outside CPA, and help leadership prepare the business for its next stage of growth and long-term employee ownership transition. The ideal candidate is an independent, proactive accounting professional who is organized, confident, client-ready, and capable of solving problems without constant direction or follow-up.

Salary Range: $100,000–$120,000 DOE, plus a $10,000–$20,000 annual performance bonus

Small Company Controller Responsibilities:

  • Track, record, analyze, and report company financial transactions
  • Manage accounts receivable, monthly client billing, cash receipts, and follow-up on delinquent accounts
  • Prepare approximately 30–50 monthly invoices across 30–50 active projects
  • Manage accounts payable, subconsultant payables, employee reimbursements, checks, and cash disbursements
  • Process timecards and reconcile payroll to labor and project records
  • Oversee payroll for approximately 19 employees through an outside payroll provider
  • Prepare payroll journal entries and manage employee deductions and payments for FSA and 401(k) programs
  • Complete bank deposits and maintain relationships with banking partners
  • Lead month-end close, including journal entries, depreciation, prepaid expenses, balance sheet reconciliations, project counts, and bank reconciliations
  • Prepare monthly and annual financial statements on a calendar-year basis
  • Maintain billing projections, income statement forecasts, cash flow forecasts, and other supplemental Excel schedules
  • Produce weekly financial and cash flow reports for company leadership
  • Work with the outside CPA firm on tax reporting, financial documentation, and related accounting matters
  • Support buy-sell agreements by producing required documents, correspondence, and historical financial information
  • Assist principals and associates with reviewing contract language and coordinating contracts and signatures with clients
  • Develop, process, and administer subconsultant agreements and signatures
  • Maintain corporate records and support corporate structure and reporting requirements
  • Coordinate with attorneys, insurance carriers, banks, consultants, and other external partners
  • Oversee human resources and benefits administration, including vacation and sick time, payroll deductions, 401(k), health insurance, employee records, and employee onboarding
  • Maintain the employee handbook and support ongoing employment compliance
  • Maintain organized accounting and corporate files
  • Retrieve and distribute mail, maintain office supply inventory, and coordinate ordering
  • Coordinate office equipment, technology support, leases, and property management needs
  • Answer incoming calls as needed through the firm’s automated phone system
  • Plan and coordinate the annual company holiday event

Small Company Controller Requirements:

  • 5+ years of progressive accounting experience, including accounts receivable, invoicing, accounts payable, month-end close, and financial reporting
  • Knowledge of general accounting and cost accounting principles
  • Advanced Microsoft Excel skills, including formulas, pivot tables, VLOOKUPs, and financial forecasting worksheets
  • Experience supporting or preparing documentation related to buy-sell agreements
  • Experience managing project-based billing, cash flow reporting, and financial projections
  • Strong understanding of debits, credits, journal entries, reconciliations, and financial statement preparation
  • Ability to work independently, anticipate needs, and resolve issues without constant supervision
  • Strong written and verbal communication skills
  • Professional presence and the confidence to communicate effectively with clients, attorneys, consultants, and financial partners
  • Consistent punctuality, attention to detail, and follow-through
  • Positive, growth-oriented attitude with the ability to thrive in a fast-paced environment

Preferred Qualifications:

  • Bachelor’s degree in accounting, finance, business, or a related field
  • Familiarity with FAR Part 31 contract cost principles and procedures
  • Understanding of corporate structures, corporate reporting, and employee ownership transitions
  • Accounting Manager or Senior Accountant experience with readiness to step into a Controller-level role
  • CPA credentials are not required
