Job Description
Position Title: Office Administrator
About the Role: The Office Administrator supports the daily operations of a well-established plaintiff personal injury law firm. This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and can seamlessly shift priorities throughout the day. The Office Administrator will provide support across office management, human resources, employee relations, onboarding, facilities coordination, and administrative operations. Success in this role requires discretion, adaptability, strong organizational skills, and a proactive approach to problem-solving.
Office Administrator Responsibilities:
- Support the Office Administrator with day-to-day office operations and administrative functions
- Assist with HR-related tasks including employee documentation, benefits administration, onboarding, offboarding, and maintaining employee records
- Coordinate job descriptions, recruiting support, and hiring-related administrative processes
- Serve as a point of contact for employee requests and ensure inquiries are directed to the appropriate person or department
- Order and maintain office supplies and coordinate vendor needs
- Act as a liaison between employees and the Facilities Manager to ensure building-related issues are addressed promptly
- Assist with benefits administration through Employee Navigator
- Maintain confidential employee information and exercise discretion when handling sensitive matters
- Support accounting functions through data entry and administrative assistance as needed
- Follow up on operational projects and ensure office-related tasks are completed in a timely manner
- Collaborate with various departments and attorney pods to support overall office efficiency
Office Administrator Requirements:
- 2-5 years of office administration, office management, HR support, or related administrative experience
- Basic HR knowledge, including employee documentation, onboarding, benefits, and personnel records
- Ability to manage multiple priorities and adapt quickly in a fast-paced environment
- Exceptional discretion and trustworthiness when handling confidential information
- Strong organizational skills and attention to detail
- Professional communication skills with the ability to work effectively across all levels of the organization
- Legal industry experience strongly preferred, particularly within personal injury law
- Professional services experience required if legal experience is not present
- Proficiency with Microsoft Outlook and general office software
- Experience with Employee Navigator, Tabs, or Filevine is a plus
- Bachelor’s degree preferred
