Job Description

Position Title: Office Manager

We are seeking an organized, proactive Office Manager to oversee day-to-day administrative and operational functions at a manufacturing facility in Maryland Heights, Missouri. This person will serve as a critical connection point between the shop floor, engineering team, customers, vendors, and company leadership while managing payroll, invoicing, bookkeeping support, inventory tracking, and general office operations.

The ideal candidate is a self-starter who thrives in a fast-paced, hands-on environment, can confidently juggle competing priorities, and wants the opportunity to improve processes as the company grows.

Salary Range: $60,000 – $80,000 / Year, DOE

Responsibilities

  • Process and manage monthly payroll through QuickBooks Online for hourly and salaried employees, including commission calculations
  • Generate customer invoices and assist with month-end closing entries
  • Coordinate accounts payable approvals and route invoices to the appropriate internal stakeholders
  • Track materials and inventory while communicating with vendors and suppliers
  • Serve as a point of contact for customers, answering questions and providing responsive support
  • Manage incoming calls, deliveries, office supplies, and other day-to-day administrative needs
  • Partner closely with the shop, engineering, and leadership teams to keep operations organized and running efficiently
  • Identify opportunities to establish or improve processes and procedures as the company continues to grow

Requirements

  • 2–5 years of experience in office management, business operations, or a similar role
  • Experience within manufacturing, equipment fabrication, or logistics
  • Working knowledge of bookkeeping and accounting processes
  • Experience with inventory management and vendor or supplier coordination
  • Proficiency with QuickBooks Online
  • Strong Excel skills, including formulas, PivotTables, and VLOOKUPs
  • Familiarity with Microsoft 365 and/or Google Workspace
  • Strong organizational skills with the ability to manage multiple priorities and details simultaneously
  • Confident communication skills and the ability to work effectively with customers and a variety of personalities
  • Proactive, flexible, and energized by solving problems and taking ownership
