Job Description
Position Title: Administrative Assistant
Join a stable, established construction company where initiative gets noticed, and strong performers have room to grow. This Administrative Assistant will provide hands-on support across office operations, project administration, subcontractor coordination, onboarding, and scheduling. Working closely with the President and Office Manager, this person will help keep day-to-day operations organized while supporting a team delivering federal construction projects.
The ideal candidate is practical and proactive, with at least one year of administrative experience in the construction industry and the confidence to follow up with project managers, superintendents, and subcontractors to keep things moving.
Salary Range: $55,000 – $100,000 / Year, DOE
Responsibilities
- Follow up with subcontractors to collect certified payroll closeout documentation and other required project paperwork
- Support the Office Manager with administrative responsibilities and eventually assist with AP, AR, and invoicing
- Manage phone calls, scheduling, calendar coordination, and general clerical responsibilities
- Coordinate interview scheduling and calendars when the company is staffing new projects
- Assist with employee onboarding, including ordering laptops, coordinating with the IT provider, and setting employees up in Procore and Microsoft systems
- Order office supplies, maintain an organized workplace, and assist with general office operations
- Help update the company website with completed project information and descriptions
- Handle sensitive employee and HR-related information with professionalism and discretion
Requirements
- 1+ years of administrative experience within a construction company or subcontractor environment
- Strong understanding of how a construction office operates and the ability to work effectively with project managers, superintendents, subcontractors, and leadership
- Organized, dependable, and comfortable managing multiple priorities in a fast-moving environment
- Strong communication and follow-up skills with the tact and confidence to hold others accountable for needed information
- Practical, resourceful, and proactive approach to solving problems and getting things done
- Ability to handle confidential company and employee information with discretion
- U.S. citizenship required due to the company’s federal project work
Preferred Skills
- Experience with Procore
- QuickBooks experience
- Familiarity with certified payroll documentation or subcontractor closeout processes
- Previous experience supporting AP, AR, invoicing, or bookkeeping functions
