Position Title: Pre-Litigation Personal Injury Manager
Salary Range: $100,000 – $150,000 / DOE
A growing plaintiff-side personal injury firm in Los Angeles is seeking an experienced Pre-Litigation Personal Injury Manager to oversee its Case Managers and Case Manager Assistants. This leader will audit case files, monitor performance, strengthen workflows, and ensure hundreds of active matters continue moving toward timely, well-supported resolutions. The ideal candidate is an organized, detail-driven, and patient leader with deep knowledge of personal injury treatment, case development, and pre-litigation operations. They must know how to hold a team accountable while building trust, solving problems, and maintaining an exceptional client experience.
Responsibilities:
- Monitor case progress to ensure timely handling and adherence to firm procedures
- Review case files at key intervals and provide clear guidance on next steps
- Conduct regular case audits to confirm files are complete, accurate, and progressing appropriately
- Support team members in identifying opportunities to strengthen case development
- Ensure all required documentation, case notes and activity records are complete and current
- Keep Case Managers on track to meet deadlines and move cases efficiently through the pre-litigation process
- Monitor treatment progress, demand readiness, statutes of limitations, and other critical case deadlines
- Monitor individual and team performance using established metrics and reporting tools
- Track monthly performance goals, including settlement production and demand submissions
- Provide ongoing coaching, constructive feedback, and practical support to team members
- Conduct regular check-ins and formal performance discussions
- Identify performance gaps and areas for improvement
- Develop clear action plans to strengthen performance and support professional growth
- Hold team members accountable for productivity, case quality, and compliance with firm standards
- Supervise Case Managers and support staff, including Case Manager Assistants and Medical Records Coordinators
- Lead a team responsible for managing a large volume of active personal injury cases
- Provide training and guidance on case handling, medical treatment, documentation standards and department workflows
- Support the onboarding, integration and ongoing development of new team members
- Help employees navigate complex cases, competing priorities and client concerns
- Promote a collaborative, accountable and professional team environment
- Adapt leadership and communication styles to manage different personalities effectively
- Ensure consistent adherence to firm processes, workflows and procedures
- Maintain consistency and accuracy across case handling, documentation and file management practices
- Identify operational inefficiencies and communicate opportunities for improvement
- Recommend practical solutions that improve case progression, team productivity and client service
- Support the implementation of process updates, new workflows and organizational initiatives
- Coordinate with attorneys and operations leadership to maintain an efficient pre-litigation department
- Ensure department procedures are followed consistently across the team
- Assist with escalated client concerns in a professional, patient, and timely manner
- Provide guidance to team members on complex case situations, treatment issues, and client communications
- Help evaluate case development and identify issues requiring attorney review
- Collaborate with attorneys and firm leadership on case-related matters
- Ensure clients receive accurate updates and a consistent level of service throughout the pre-litigation process
- Support the resolution of case issues that could delay treatment, documentation, demands, or settlement
- Communicate updates, expectations, performance goals and procedural changes clearly to team members
- Partner with attorneys, leadership and cross-functional teams to support case and department operations
- Foster alignment between management and team members
- Escalate case, staffing and operational concerns to leadership when appropriate
- Maintain open communication across the department to ensure priorities, responsibilities and deadlines are understood
- Build strong working relationships that support accountability, collaboration and efficient case handling
Requirements:
- At least five years of plaintiff-side pre-litigation personal injury experience
- At least two years of experience managing Case Managers
- Experience leading a team of at least 10 employees responsible for several hundred active cases
- Expert understanding of pre-litigation personal injury case management
- Strong knowledge of medical treatment, records, damages and case development
- Experience auditing case files and ensuring adherence to legal deadlines
- Proven ability to coach employees, manage performance and enforce accountability
- Ability to work effectively in a fast-paced, high-volume environment
- Strong organizational skills and exceptional attention to detail
- Ability to manage competing priorities and different personalities
- Patient, professional communication skills when working with clients
- Bilingual fluency in English and Spanish
- No current or future employment sponsorship required
Preferred Qualifications:
- Bachelor’s degree
- Experience using Filevine
- Experience using HubSpot or another intake management platform
