Position Title: Legal Operations Coordinator
Salary Range: $120,000–$130,000
A growing California law firm is seeking a Legal Operations Coordinator to strengthen the day-to-day execution of its legal practice by keeping cases moving, deadlines on track, and workflows running efficiently. This role sits at the intersection of legal support, case management and operations, working directly with attorneys and paralegals to identify bottlenecks, maintain accountability and implement practical solutions when processes break down. The ideal candidate has strong California civil litigation experience and understands how a law firm actually operates behind the scenes. They are organized, proactive, adaptable, and confident enough to follow up, hold people accountable, and solve problems without creating unnecessary friction.
Responsibilities
- Oversee case management workflows to ensure deadlines, filings, and critical tasks are completed on time
- Review the firm’s master calendar and proactively follow up on pending items so deadlines do not fall through the cracks
- Partner with attorneys and paralegals to keep cases moving and provide support when obstacles arise
- Identify workflow gaps, recurring pain points and inefficiencies, then implement processes to prevent them from happening again
- Follow up on attorney emails, outstanding tasks, and pending matters to maintain accountability across the legal team
- Ensure legal documents are properly prepared for filing and oversee the accuracy and completion of filings, personally handling approximately 5% as needed
- Develop and improve legal support procedures, workflows, templates, and processes that increase consistency and efficiency
Requirements
- At least 5 years of progressively responsible experience as a Legal Assistant, Legal Secretary, Litigation Support Professional, or within law firm operations
- California civil litigation experience with strong knowledge of court filing, service, and calendaring procedures
- Experience overseeing legal workflows, deadlines, or support staff, including Senior Paralegal candidates who have managed legal assistants and deadline execution
- Experience preparing and filing pleadings, Judicial Council forms, proofs of service and related legal documents
- Strong organizational, communication and follow-up skills with the ability to manage competing deadlines
- Proven ability to identify operational problems, improve processes and maintain accountability across a legal team
- Self-motivated, adaptable and comfortable asking for help when needed while working independently
