Position Title: Client Experience Coordinator

The Client Experience Coordinator is essential to the operational success of the office. This role involves managing daily administrative tasks and ensuring a professional and welcoming environment for clients, prospects, and vendors. The ideal candidate will take pride in creating an organized space while demonstrating exceptional communication skills. This position requires a proactive problem-solver who can manage multiple priorities in a fast-paced setting. Salary Range: $40,000 – $50,000+ / Year DOE

Responsibilities:

  • Serve as the first point of contact for clients and guests, representing the firm’s hospitality and professionalism
  • Provide administrative support to team members, including document preparation and correspondence
  • Manage scheduling for client meetings, prospect appointments, and vendor engagements
  • Track and recognize key milestones for clients and the team, coordinating gifts and events
  • Maintain office supply levels and monitor vendor relationships
  • Assist in basic office technology setup and coordinate with IT for repairs and upgrades

Requirements:

  • 1-2 years of experience in an administrative client-facing role as a receptionist, office coordinator, or similar role
  • Experience with light scheduling and calendaring
  • Professional client interactions via phone, email, and in person
  • Proficiency with Microsoft Office 365, Calendly, and Salesforce is preferred
  • Experience working within the Schwab system is preferred
