Position Title: Executive Assistant & New York Office Manager
A dynamic lifestyle hospitality group is seeking a highly capable Executive Assistant & New York Office Manager to serve as the operational anchor of the New York office. This role combines senior-level executive support with comprehensive oversight of daily office management while closely coordinating with Global Executive Assistants based in London. The ideal candidate will thrive in a fast-paced environment and manage multiple priorities with discretion and professionalism. This position requires a proactive mindset and a strong ability to anticipate the needs of executives. The successful candidate will contribute to fostering a positive office culture aligned with the firm’s values and standards.
Salary Range: $90,000 – $110,000 / Year DOE
Executive Assistant & New York Office Manager Responsibilities:
- Provide high-level administrative support to senior New York-based executives, including complex calendar management, meeting coordination, and travel planning
- Prepare agendas, briefing materials, and follow-ups for internal and external meetings
- Act as a trusted gatekeeper, managing priorities, deadlines, and sensitive communications with professionalism and discretion
- Support ad-hoc projects and special initiatives as required
- Own the smooth day-to-day operation of the New York office, ensuring a well-run, professional, and welcoming environment
- Serve as the primary point of contact for building management, IT, vendors, and service providers
- Manage office supplies, equipment, facilities issues, and vendor contracts
- Coordinate onboarding logistics for new hires in New York
- Partner with HR, Finance, and IT to ensure compliance with firm policies and procedures
- Work closely with the Global EA team to ensure consistency, alignment, and seamless coverage across offices and time zones
- Support cross-office meeting coordination, executive travel, and global off-sites as needed
- Help foster a positive, high-performance office culture aligned with Company values and standards
- Support internal events, meetings, and hosting in the New York office
- Ensure the physical office reflects the brand’s attention to detail and commitment to excellence
Executive Assistant & New York Office Manager Requirements:
- Must have 5+ years of experience supporting executives as an EA
- Must have white-glove service for internal executives and external clients
- Experience in private investment, hospitality, luxury retail, finance, or similarly high-standard environments is preferred
- Must be exceptionally organized, discreet, proactive, and operate with a sense of ease in a fast-paced, hhigh-standardenvironment
- Strong background with complex calendar management, meeting coordination, and travel planning
- Experience managing an office – office supplies, equipment, facilities issues, and vendor contracts
- Proactive, solutions-oriented mindset with a “no task too small” but highly strategic approach
- A bachelor’s degree is required
- Bilingual – Spanish, Italian, or Portuguese language skills are not required, but are preferred
