Job Description
A family-centered leader in post-acute care is hiring a Bilingual Medical Office Administrator to keep a high-performing Houston, TX clinic running smoothly. This role owns the heartbeat of daily operations from greeting patients, coordinating schedules, verifying insurance, processing orders, and supporting providers with the administrative precision that keeps care moving. The right candidate will be warm, organized, bilingual in English/Spanish, and experienced in a medical office environment where accuracy, compassion, and professionalism truly matter.
Bilingual Medical Office Administrator Responsibilities:
- Greet and register patients
- Verify demographics, insurance, and required documentation
- Confirm insurance eligibility and secure authorizations/referrals
- Answer and route incoming calls
- Manage appointment scheduling and patient inquiries
- Make outbound calls for reminders, follow-ups, rescheduling, and preventive-care outreach
- Create and maintain accurate patient charts in the EMR
- Manage provider follow-up lists, including mammograms, colonoscopies, diabetes checks, and screenings
- Coordinate Annual Wellness Visits and chronic care outreach for Medicare patients
- Send referrals, lab requisitions, imaging orders, and other provider-approved documentation
- Assist with patient check-in and check-out, including collecting co-pays
- Process incoming faxes, medical records, and lab results, and route appropriately
- Maintain office supplies, stock exam rooms, and keep the clinic organized
- Support providers with administrative tasks such as scanning, uploading, and filing
- Ensure HIPAA compliance and maintain a professional, welcoming front office environment
- Collaborate with providers and staff to ensure efficient patient flow
Bilingual Medical Office Administrator Requirements:
- 3+ years of medical office administrative experience
- Bilingual English/Spanish
- Experience verifying insurance eligibility and securing authorizations
- Strong phone presence and ability to interact warmly with patients
- Customer-facing experience in a healthcare office
- Tech-savvy with the ability to learn new systems quickly
- Previous experience with EMR systems
- Friendly, patient, compassionate personality
- Bachelor’s degree preferred
