Job Description

A respected boutique law firm specializing in maritime, international trade, and energy law, is seeking an experienced Legal Secretary to provide critical administrative and litigation support to their growing Long Beach team. This role supports two attorneys while assisting with firm operations, billing, and business development initiatives. You’ll handle everything from client onboarding and filings to travel coordination and marketing materials, keeping both the legal and administrative sides running seamlessly. Salary Range: $75,000 – $80,000 / Year DOE

Legal Secretary Responsibilities:

  • Support attorneys with administrative and litigation tasks including filings, discovery, trial prep, and client correspondence
  • Manage client and matter onboarding including conflict checks, engagement letters, and matter setup
  • Handle billing processes by entering time, preparing monthly invoices, running WIP reports, and following up on outstanding balances
  • Maintain firm calendars, contact lists, and communication systems
  • Coordinate travel, events, and materials for client outreach and firm marketing efforts
  • Oversee office supplies, library materials, and general administrative tasks for both offices
  • Assist with social media and business development projects as needed

Legal Secretary Requirements:

  • 3 – 5+ years of experience as a Legal Secretary or Legal Assistant in business or general litigation
  • Associate degree required
  • Paralegal certification preferred
  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint
  • Familiarity with LinkedIn and Twitter for professional/firm use
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to prioritize multiple deadlines with professionalism and discretion
