Job Description

A privately held real estate investment and property management firm is seeking an on-site Executive Administrator to serve as the organizational anchor of its Sherman Oaks, California office. This individual will provide direct executive-level support to ownership, oversee day-to-day operations, coordinate HR and investor relations activities, and ensure smooth communication across a close-knit, long-tenured team. The ideal candidate is composed, organized, personable, and thrives in an environment where no two days are the same.

Salary Range: $150,000 – $175,000 / year DOE

Responsibilities:

  • Serve as primary liaison for the President/CEO, managing priorities and information flow
  • Draft executive correspondence, investor communications and formal reports
  • Manage confidential and sensitive business and estate matters
  • Anticipate needs and provide proactive operational support
  • Supervise and mentor one Administrative Assistant
  • Oversee internal communications and company updates
  • Manage multiple bank accounts, wire transfers and liquidity tracking
  • Coordinate with CPA firm on tax filings across multiple entities
  • Assist with acquisitions, refinancing and escrow coordination
  • Prepare investor distributions, capital calls and communications
  • Liaise directly with investors and families regarding reporting and ownership updates
  • Maintain subscription agreements, partnership records and valuation tracking
  • Coordinate estate-related investor transitions
  • Support due diligence for acquisitions
  • Coordinate insurance renewals across all lines (property, liability, workers comp, EPLI, D&O, cyber, health, etc.)
  • Manage claims, inspections and broker coordination
  • Post job openings, conduct initial screenings and support onboarding
  • Liaise with HR consultant and labor attorney
  • Oversee benefits administration (medical, dental, vision, FSA)
  • Manage 401(k) plan administration and compliance
  • Support payroll coordination across entities
  • Oversee daily office operations and vendor relationships
  • Manage facilities coordination with landlord
  • Plan and execute company events
  • Document recurring processes to ensure continuity
  • Assist with select family trust documentation and coordination
  • Provide occasional administrative support on personal matters

Requirements:

  • 7-10+ years supporting C-level executives within real estate or property management
  • Strong financial acumen and experience handling banking, acquisitions, and investor matters
  • Experience coordinating estate-related ownership transitions
  • Understanding of escrow, title, mortgages, and property insurance
  • Proven discretion in managing confidential information
  • Proficiency in Microsoft Office
  • Yardi experience preferred
  • Bachelor’s degree preferred
  • Notary or willingness to obtain certification
  • Demonstrated career stability and longevity
