Job Description

A well-established healthcare organization is seeking an on-site Office Manager to oversee daily operations at its Stratford, Connecticut location. This individual will ensure the clinic runs smoothly, manage front office staff, maintain accurate payroll and billing, and uphold a high standard of patient service and professionalism. The ideal candidate is a confident multitasker with a strong leadership presence, a personable and upbeat demeanor, and a knack for keeping operations organized and efficient in a fast-paced environment.

Office Manager Responsibilities:

  • Oversee daily operations of the clinic to ensure efficient workflow and exceptional patient service
  • Manage front office and clinical support staff, including coaching, training, and performance reviews
  • Approve time-off requests and submit timesheets accurately for payroll processing
  • Monitor referrals, authorizations, and patient schedules to optimize productivity and reduce wait times
  • Handle patient billing, payments, deposits, and insurance-related tasks with accuracy and professionalism
  • Reconcile daily payments and maintain accurate financial records
  • Address patient inquiries and resolve concerns promptly and courteously
  • Ensure compliance with policies, documentation standards, and facility maintenance needs
  • Manage inventory, supply ordering, and administrative correspondence
  • Serve as backup for all office functions to maintain smooth operations at all times

Office Manager Requirements:

  • Minimum 2 years of experience as an Office Manager in a healthcare or medical office setting
  • Strong insurance-based knowledge and experience handling managed care and authorizations
  • Proven experience with patient collections, billing, payments, and deposits
  • Background managing scheduling, timecards, and payroll for clinic or healthcare staff
  • Outgoing, personable demeanor with the ability to work well with diverse personalities
  • Demonstrated ability to lead, train, and support team members effectively
  • Tech-savvy and quick to learn new systems (Excel, Google Drive, MS Suite)
  • Must be organized, proactive, and comfortable juggling multiple priorities simultaneously
