A highly respected plaintiff-side employment law firm is seeking a Head of Intake to lead and manage its growing intake team. This critical leadership role blends client interaction, intake strategy, and department operations to ensure that high-quality potential cases are efficiently screened, reviewed, and advanced. The Head of Intake will oversee two direct reports, guide department performance, and work closely with attorneys to evaluate potential wage & hour, wrongful termination, and class action cases. This position is ideal for a self-motivated, bilingual professional with legal experience who is ready to lead a team and drive department goals in a mission-driven law firm.

Salary Range: $80,000 – $100,000 / year DOE

Head of Intake Responsibilities:

  • Lead and manage the intake team, providing coaching, training, and performance evaluations
  • Set clear expectations and monitor department KPIs, including sign-up goals and call volume
  • Organize weekly check-ins and department meetings to communicate progress and expectations
  • Evaluate departmental performance and suggest improvements to intake processes
  • Conduct preliminary screenings and assess the viability of potential employment law cases
  • Guide prospective clients through the intake process and gather necessary documentation
  • Assign leads to the appropriate attorneys based on referral source and case type
  • Ensure timely and accurate follow-up with clients and referral partners
  • Oversee intake logistics including scheduling, calendaring, follow-ups, and maintaining case status
  • Prepare summaries and recommendations for attorneys on new intakes
  • Maintain an updated intake database and accurate tracking of conversion rates
  • Refer out non-qualifying cases and maintain documentation for declined leads

Head of Intake Requirements:

  • 3+ years of experience in intake, legal operations, or case management, law firm environment preferred
  • Prior experience supervising or managing teams
  • Fully bilingual in English and Spanish, written and spoken
  • Strong proficiency in Microsoft Office Suite
  • Highly organized, dependable, and self-motivated with strong judgment and initiative
  • Strong communication and interpersonal skills; able to work with attorneys and clients
  • Comfortable working in a fast-paced, client-first environment
  • Licensed California attorney is a plus
  • Bachelor’s degree is preferred
  • Prior experience in plaintiff-side employment law
  • Familiarity with legal software such as Westlaw, Case Anywhere, and Time Slips
