Payroll Specialist
Job Description
About: Boutique Recruiting is a privately held boutique staffing firm specializing in recruiting services in finance, accounting, administration, customer service, and other professional services. As we continue to grow, we seek a detail-oriented and dedicated Payroll Specialist to join our team! This critical role ensures the seamless administration of payroll, benefits, compliance, and employee support while maintaining the highest standards of accuracy and confidentiality. The ideal candidate is a proactive professional who thrives in a fast-paced environment and understands payroll systems, HR compliance, and employee relations.
Salary: $60,000 -$75,000 per year
Responsibilities:
Payroll and Benefits Administration:
- Process payroll for temporary staff and internal employees with precision and timeliness.
- Track Paid Time Off (PTO), sick leave, and reimbursements accurately.
- Enroll employees in benefits plans and generate weekly reports for the insurance broker.
- Manage time clock revisions and hourly employee reporting.
- Process and report hours for Canadian temporary employees using the DEEL platform.
- Calculate and process commissions and bonuses for eligible staff.
Compliance and Reporting:
- Submit quarterly state wage reports and handle unemployment claims and audits.
- Manage workers compensation tasks, including broker code requests and Paychex Representatives submissions.
- Ensure federal compliance with tasks like I-9 verification and E-Verify submissions.
- Stay updated on state employment laws and manage labor posters and compliance requirements.
- Process COBRA coverage for terminated employees and report workplace injuries to the insurance provider.
Employee Relations and Support:
- Respond to employee, client, and temporary staff inquiries regarding payroll and HR-related needs.
- Oversee the PTO calendar and address employee concerns promptly and effectively.
- Process and track temporary employee timesheets and submissions in Salesforce.
Administrative Support:
- Draft employment-related documents, such as raise and bonus agreements, new policy memos, and disciplinary write-ups, as requested by upper management.
- Process weekly scans and documentation received from headquarters.
- Maintain and update employee records and compliance documents to ensure accuracy.
Requirements:
- Proven experience in payroll, HR, and accounting functions.
- Familiarity with payroll systems such as Paychex or similar platforms.
- Strong knowledge of employment laws and compliance requirements.
- Experience with DEEL or other international payroll systems is a plus.
- Excellent organizational and multitasking abilities.
- High level of integrity and discretion when handling confidential information.
Preferred Skills:
- Strong interpersonal and communication skills.
- Proficiency in Microsoft Office and HRIS systems.
- Knowledge of workers compensation, COBRA processes, and state employment law update
