A growing design firm in Chicago, IL is seeking an organized and energetic Office Administrator to join their team. This role will ensure the smooth operation of the office, support invoicing processes, assist executives, and contribute to team collaboration. The ideal candidate will bring a positive attitude, multitasking skills, and a willingness to adapt to various tasks while helping to enhance the overall office environment.
Salary Range: $75,000 - $95,000 / year DOE
Office Administrator Responsibilities:
- Oversee daily office operations, ensuring supplies are stocked and the office runs efficiently
- Manage custom invoices each month, with strong attention to detail and Excel proficiency
- Organize and coordinate meetings, including scheduling and calendar management
- Assist in the planning and execution of office events, including holiday parties and team-building activities
- Collaborate with the accounting firm on financials and assist with compiling monthly expenses
- Manage ordering of lunch and office supplies as needed
- Help write proposals and contribute to marketing tasks, including social media and graphic design
- Transition to QuickBooks as part of the financial management processes
Office Administrator Requirements:
- Minimum of 3 years of office management or administrative experience
- Strong proficiency in Excel, including formulas
- Strong organizational skills and the ability to efficiently multi-task
- Positive, high-energy attitude
- Experience in architecture, landscape architecture, interior design, or engineering firms is preferred but not required
- Bachelor's degree is preferred but not required
- Familiarity with QuickBooks or experience with software conversion/implementation is preferred but not required
