A leading local law firm near Chicago is seeking a Legal Secretary to support their estate planning, real estate, and business formation practice areas. The ideal candidate will handle a variety of responsibilities, including drafting and editing legal documents, answering and screening phone calls, scheduling consultations, and assisting with client interactions during meetings. This role also involves managing office tasks such as scanning and organizing documents, preparing handouts for consultations, and ensuring confidentiality in all client communications. The firm is looking for a proactive, detail-oriented individual with strong communication skills and a client-focused approach who can work independently while being an integral part of the team.

Salary Range: $50,000 - $55,000 / year DOE

Legal Secretary Responsibilities:

  • Provide support to the managing attorney and remote paralegal
  • Answer phone calls and greet clients with professionalism and compassion
  • Assist in drafting and editing legal documents, including wills, deeds, and affidavits
  • Schedule consultations using Rocket Matter software and prepare necessary handouts
  • Manage client interactions during meetings, ensuring documents are ready for review
  • Monitor and prepare for attorney meetings, ensuring all documents are scanned and copied promptly
  • Uphold confidentiality and treat clients with respect, especially in emotionally charged situations
  • Work independently and proactively identify tasks that need completion

Legal Secretary Requirements:

  • 2+ years of experience in a legal secretary or similar role, preferably in a small law firm
  • Client-facing experience with strong communication skills
  • Familiarity with MS Office Suite, OneDrive, Adobe, and basic Excel functions
  • Experience with law practice management software (Rocket Matter preferred)
  • High typing speed and attention to detail
  • Ability to follow instructions meticulously and work without micromanagement
  • Outgoing personality with a people-oriented attitude
