Legal Assistant/Paralegal
Job Description
A large law firm in Costa Mesa, CA specializing in complex civil litigation and executive employment is searching for a dynamic Legal Assistant/Paralegal to join their team! This role involves a variety of administrative and legal tasks to support a team of three attorneys at the firm s Orange County office where you will be responsible for court filings, managing eDiscovery documents, calendaring, drafting briefs, and ensuring all legal documents adhere to the specific requirements of different judges. They are looking for pro-active and detail-oriented candidates with at least 5 years of experience as a legal secretary or assistant. Candidates with paralegal experience are a huge plus! The position provides an excellent work-life balance with a hybrid schedule of three days in the office and two days working from home, in a professional yet relaxed environment that fosters a friendly and collaborative team atmosphere.
Salary Range: $65,000 - $95,000 / year DOE
Legal Assistant/Paralegal Requirements:
- Minimum of 5 years' experience in a legal secretary or assistant role; candidates with paralegal experience will also be considered
- Exceptional attention to detail and the proven ability to manage multiple tasks efficiently under pressure
- Excellent communication skills, including the ability to draft clear and effective correspondence and legal documents
- Strong organizational skills and the capability to work independently and as part of a team.
- Proficiency in legal software such as Citrix and Tabs3 is preferred, with willingness to undergo training as needed
- Demonstrated ability to follow strict confidentiality protocols and handle sensitive information with discretion
- Strong problem-solving skills and the initiative to resolve issues proactively while adhering to professional standards
- Flexibility and adaptability to manage shifting priorities and the demands of a busy legal office
Legal Assistant/Paralegal Responsibilities:
- Prepare and file legal documents with both California and federal courts, ensuring strict adherence to legal procedures and deadlines
- Support three attorneys by managing their calendars, scheduling meetings, and handling email correspondence to ensure efficient workflow and communication
- Draft, format, and edit legal briefs, motions, and other court documents, paying close attention to detail to meet the specific requirements of various cases
- Compile comprehensive binders and maintain eDiscovery databases that organize evidence and case files for attorney review and court presentation
- Manage the billing process by accurately entering attorney hours and expenses into the Tabs3 billing system; ensure timely submission and tracking of invoices
- Regularly check mail, receive packages, and handle necessary office duties to support the legal team
- Research and double-check the specific procedural rules of different judges to ensure compliance in all court submissions
- Assist attorneys in preparing for court by gathering necessary documents, preparing case files, and ensuring all materials are complete and available for use
