Interim Executive Assistant
Job Description
A leading software based in San Diego, CA is seeking an experienced Interim Executive Assistant to support the CEO during a leave of absence. This is a temporary role that is expected to last through October where you will be expected to help ensure the seamless operation of the CEO's daily activities by anticipating needs, managing your time effectively and maintaining a well-organized office environment. Salary Range: $26 - $27/hour DOE
Interim Executive Assistant Requirements:
- 5-7 years of experience as an Executive Assistant, preferably supporting C-level executives.
- High school diploma required; a Bachelor s degree is preferred
- Proficiency in Google Suite (Gmail, Google Calendar, Google Meet, Google Tasks) is mandatory
- Strong organizational skills with a polished and professional demeanor
- Ability to anticipate needs and manage multiple priorities in a fast-paced environment
- Experience with Excel and Mac Keynote is preferred
Interim Executive Assistant Responsibilities:
- Manage and organize the CEO s email, ensuring important communications are addressed
- Maintain the CEO s calendar, avoiding double-bookings and scheduling conflicts
- Perform daily office walkthroughs to ensure a clean and organized workspace
- Oversee the stocking and ordering of office supplies, particularly for the kitchen and break areas
- Prepare and deliver the CEO s daily essentials, including espresso, snacks, and water, immediately upon his arrival
- Coordinate and confirm lunch orders for the CEO, ensuring timely delivery
- Provide the CEO with 5-minute warnings before each meeting and ensure the Executive Conference Room is prepared, including Zoom setups and A/V checks
- Prioritize tasks assigned by the CEO, handling all requests with urgency
- Assist other executives with small tasks only if time permits and with the CEO's approval
- Enforce office security protocols, including managing access to the office and the Executive Conference Room
