A prominent financial services firm specializing in estate law and financial planning is looking for an Interim Admin to support daily office operations in their Newport Beach location. The role will involve managing office logistics, greeting and assisting clients, handling calls, scheduling meetings, and ensuring the smooth operation of the office. This position is ideal for someone with strong administrative skills and an ability to manage a fast-paced environment with attention to detail. Salary Range: $20 - $22 / hour DOE

Interim Admin Responsibilities:

  • Open and close the Newport Beach office during business hours, ensuring all security protocols are followed and office equipment is properly shut down
  • Greet and assist guests as they arrive, ensuring they are escorted to the appropriate meeting areas and offering beverages or refreshments to enhance their experience
  • Maintain and organize conference rooms and the reception area, preparing spaces before meetings and ensuring cleanliness and tidiness throughout the day
  • Manage incoming calls, schedule and coordinate meetings, and ensure effective communication with clients and business contacts
  • Assist with data entry, mail handling, and shipping logistics, ensuring all tasks are completed in a timely and efficient manner to maintain office workflow
  • Oversee the office budget for lunch orders and supplies, carefully tracking and managing expenses to stay within the designated budget limits
  • Provide additional administrative support as needed, including assisting with timecard approval and maintaining accurate records for various office tasks

Interim Admin Requirements:

  • At least 1 year of administrative experience in a professional environment
  • Proficiency in Microsoft Word and Outlook, with a solid understanding of office tools
  • High school diploma required; additional certifications or coursework is a plus
  • Strong organizational skills with the ability to manage multiple tasks and priorities
  • Excellent communication and interpersonal skills to interact effectively with clients and staff
  • Ability to thrive in a fast-paced environment while maintaining accuracy and attention to detail
