This unique role involves managing personal assistant duties, estate management, and executive support, working closely with an estate manager and executive assistant to ensure seamless coordination across all aspects of the owner s life. You ll oversee multiple properties, manage complex schedules, and handle personal tasks, all while playing a crucial role in keeping the executive on track with important reminders. The position is based in Miami, requiring flexibility to work from the executive s home office, the airport hangar office, and remotely as needed. Executive Personal Assistant Requirements:
- 5+ years as a Personal Assistant or Executive Assistant, with experience in estate management preferred
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook)
- Strong organizational and multitasking abilities
- Excellent communication skills, both written and verbal
- High level of discretion, trustworthiness, and professionalism
- Ability to manage and prioritize multiple tasks in a fast-paced environment
- Detail-oriented with strong problem-solving skills
- Ability to work independently and as part of a team
- Comfortable with occasional travel and flexible work hours
- Calm under pressure and able to manage high-stress situations
- Strong interpersonal skills with a high level of emotional intelligence
Executive Personal Assistant Responsibilities:
- Coordinate with yacht crew, private plane staff, and onsite property managers to ensure smooth operations
- Oversee maintenance and repairs across multiple properties, ensuring timely completion and quality control
- Liaise with vendors, negotiate contracts, and manage service providers for various estate-related needs
- Plan and execute events, handling all logistics from start to finish
- Manage estate budgets, review invoices, and provide regular updates to the principal
- Manage complex calendars, coordinate appointments, and organize travel arrangements
- Collaborate with legal and tax teams to ensure compliance and timely submission of documents
- Maintain accurate records of financial transactions, investments, and administrative affairs
- Assist in drafting and managing correspondence, both personal and professional
- Oversee the organization of office spaces, including a home office and office at the airport hangar
- Handle personal bookkeeping, including bill payments and expense tracking
- Coordinate personal errands, medical appointments, and other daily tasks
- Manage personal financial records, including insurance policies and tax documents
- Assist with family matters, including event coordination and household activities
