An executive and talented administrator is needed to support senior leadership at a mission-driven organization within the nonprofit sector. This role encompasses executive assistance, talent acquisition, and administrative coordination, requiring exceptional organizational skills, proactive problem-solving, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is resourceful, adaptable, and committed to contributing to meaningful and impactful work. This position offers a unique opportunity to collaborate closely with leadership and play a critical role in the organization's operations and growth.

Salary Range: $68,640 73,840 / Year DOE

Executive and Talent Administrator Responsibilities:

  • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, arranging travel, and serving as a liaison with internal teams, board members, and external stakeholders
  • Coordinate logistics for board meetings, prepare materials, and document minutes
  • Organize events such as board dinners, donor recognition events, and holiday gatherings while assisting with donor communication and stewardship
  • Collaborate with management to develop job descriptions, post openings on platforms like LinkedIn and Indeed, and oversee candidate screening
  • Schedule interviews, conduct reference checks, and manage recruitment efforts, including participation in intern and career fairs
  • Facilitate employee onboarding processes and act as a primary contact for organizational policies, procedures, and benefits
  • Ensure smooth transitions for new hires and maintain effective communication throughout the onboarding journey
  • Provide support for special projects initiated by the management team and assist in executing administrative tasks
  • Track and organize critical dates, such as birthdays and anniversaries, to maintain timely acknowledgments
  • Manage logistics for organizational events, maintain a comprehensive organizational calendar, and ensure seamless planning and execution of key activities across the company

Executive and Talent Administrator Requirements:

  • Bachelor s degree required
  • Minimum of 5 years of professional experience, with at least 3 years in administrative, event management, or project coordination roles
  • Proficiency in Microsoft Excel, Word, PowerPoint, Canva, Adobe, and social media platforms (Facebook, Instagram, LinkedIn, TikTok); experience with HRM platforms, Salesforce, or peer-to-peer platforms is a plus
  • Proactive critical thinker with a positive, "can-do" attitude; exceptional organizational, multitasking, and communication skills; ability to work independently and handle sensitive information with discretion
  • Passion for contributing to a mission-driven environment focused on creating meaningful change
