Boutique Recruiting has teamed up with a leading food manufacturing company in Vernon, CA in search of a seasoned Executive Assistant to provide comprehensive support for their executive team.  In this role, you will be primarily focusing on managing calendars, scheduling meetings and arranging travel for the CEO and CFO, but will also be supporting 3 other c-suite level executives with travel arrangements as well. They are looking for someone with 3-5 years of executive assistant experience, preferably in C-suite level support and familiarity with the food and manufacturing industry.  Excellent organizational and communication skills are also a must!

The position is temp-to-hire with the potential to convert into a permanent role after 3 months.  Once fully hired, you will have access to a full health package, 401k with 5% match, generous PTO and other nice perks!  The company culture is professional, fast-paced, and results-oriented where everyday is exciting and action packed!

Pay Range: $40 - $50/hr DOE

Responsibilities:
  • Provide comprehensive executive support to five senior executives, with a primary focus on the CEO and CFO
  • Efficiently manage the calendars of the CEO and CFO, scheduling and coordinating meetings as needed
  • Coordinate virtual meetings using platforms like Teams and Zoom, ensuring all required documents are prepared and shared in advance
  • Remind the CEO of upcoming meetings, providing relevant information about participants and topics
  • Facilitate in-person meetings by setting up conference rooms and preparing impactful PowerPoint presentations
  • Arrange conference room bookings at hotels, offering clear directions to attendees
  • Develop professional presentations, typically 10-15 slides, for key stakeholders
  • Collaborate closely with the CEO and CFO to create an annual plan, a comprehensive PowerPoint presentation
  • Organize quarterly internal staff meetings, ensuring smooth logistics and timely communication
  • Take charge of weekly travel arrangements for the CEO, CFO, CPO, CCO, and COO, including flights, accommodations, meetings, and transportation
  • Manage Concur expense report submittals for accurate tracking of travel-related expenses

Requirements:
  • 3-5 years of experience as an executive assistant with exposure to C-suite level support
  • Ability to create visually appealing and impactful PowerPoint presentations
  • Basic proficiency in Excel and Word is required
  • Excellent organizational skills and attention to detail
  • Ability to adapt quickly in a fast-paced and professional corporate environment
  • Bachelor's degree in a related field is preferred
  • Familiarity with the food and beverage manufacturing industry is preferred
  • Prior experience with Concur software for expense management is preferred
