An experienced Executive Assistant is needed in San Francisco, CA, to provide high-level operational and executive support to four C-suite executives, including two Operating Partners, a CFO, and a GTM Partner. This dynamic role requires an individual with exceptional organizational skills, a proactive mindset, and the ability to manage complex tasks in a fast-paced, ever-evolving environment. The Executive Assistant will be responsible for optimizing tools and integrations, managing schedules, coordinating events, overseeing office operations, and supporting marketing and capital call activities. The ideal candidate will be calm, level-headed, resourceful, and possess strong relationship management skills, with a proven track record of supporting C-suite executives in a venture capital environment.

Salary Range: $160,000 - $185,000 / year DOE

Executive Assistant Responsibilities:

  • Provide operational support to two Operating Partners (Talent Partner and CFO), as well as the GTM Partner, anticipating their needs and maintaining a strong awareness of the firm s brand and relationship management
  • Manage dynamic calendars, including scheduling multiple meetings a week across multiple executives
  • Coordinate events, ranging from small intimate gatherings to large-scale events
  • Plan and manage logistics for the firm s significant events, interfacing with vendors and managing the budget
  • Provide inbox management, including managing emails, tracking deadlines, and ensuring timely responses
  • Support marketing efforts by drafting copy for external communications, managing ad-hoc tasks, and supporting marketing partners
  • Handle data management, including managing capital calls, tracking quarterly calendars, and coordinating personnel searches
  • Coordinate travel arrangements, including flights and reimbursements, and handle occasional personal errands for executives
  • Work independently, anticipating needs and managing operational tasks without direct supervision
  • Collaborate with the marketing team to support gift research, crisis communications, and event-related messaging
  • Operate with a high level of discretion and confidentiality, understanding the importance of managing sensitive information

Executive Assistant Requirements:

  • Minimum of 2 years of experience supporting C-suite executives in a venture capital or fast-paced corporate environment
  • Bachelor's degree required
  • Exceptional verbal and written communication skills
  • Experience with email inbox management and dynamic calendar coordination
  • Proven ability to manage relationships and demonstrate high emotional intelligence (EQ)
  • Strong organizational skills with the ability to handle multiple projects and priorities simultaneously
  • Experience in planning and managing white-glove events of various sizes, from small gatherings to large events with attendees
  • Ability to anticipate needs, manage up, and work independently with minimal guidance
  • High integrity, resourcefulness, and the ability to handle pressure while maintaining a calm demeanor
  • Knowledge and interest in fine dining, wine, food, and culture trends
  • Strong boundaries and the ability to diplomatically manage expectations
  • Familiarity with CRM tools (e.g., Affinity, ATTIO), and proficiency in Google Suite, Slack, Coda, and WhatsApp
