Job Description

A specialized private equity firm in Washington, D.C needs an organized and proactive Executive Assistant to support two Managing Directors, three VPs, and occasionally the finance team with various administrative duties and assisting on ad hoc projects. The ideal candidate will have experience in calendar management, event planning and task delegation in a fast-paced environment.

Executive Assistant Requirements:

  • Minimum of 5 years of EA experience in PE, HF, VC, UHNW, or management consulting environments
  • Exceptional calendar management across multiple calendars
  • Ability to hit the ground running ; operates with a sense of urgency; ability to be nimble and prioritize
  • Exceptionally polished written and verbal communication
  • Ability to manage up and train executives to delegate tasks
  • Experience with CRM/Deal Management Systems preferred
  • Familiarity with Concur or similar expense management platforms
  • Proficiency in Microsoft Office 365, Zoom, Microsoft Teams, and Box
  • Positive, forward-thinking, can-do attitude, especially in-high pressure situations
  • Must be comfortable with occasional evening and weekend work
  • This position is 100% onsite out of their Washington, D.C office

Executive Assistant Responsibilities:

  • Coordinate and manage calendars for two Managing Directors and three VPs
  • Partner with the other two EAs to help plan and execute a variety of firm events
  • Assist the finance team with tasks like expense report processing and bank account management
  • Provide general administrative support, such as document scanning and distribution
  • Identify potential issues or needs before they arise and take initiative to troubleshoot
  • General office management tasks: ordering office supplies, maintain organization of common areas act as key point of contact and providing on-site support during events
  • Provide backup coverage for other EAs when they are out of the office
  • Provide support with travel-related matters upon request
