Event Coordinator
Job Description

A thriving non-profit organization is seeking an experienced Event Coordinator to plan and execute high-impact educational events. Reporting to the Senior VP of Events, this role will lead event logistics, budget planning, vendor coordination, and execution for conferences, regional events, and training programs. The ideal candidate is highly organized, proactive, and capable of managing large-scale events while working collaboratively in a fast-paced, mission-driven environment.
Event Coordinator Responsibilities:
- Plan and execute up to 6 major events per year, including a 1,300-person national conference and a 600-person summer institute
- Develop and manage event budgets, ensuring cost-effective planning
- Source and coordinate with vendors, including hotels, caterers, AV teams, and registration services
- Draft event plans, agendas, and timelines, presenting them to leadership for approval
- Lead logistics for venue selection, contract negotiations, room setups, and scheduling
- Work closely with internal teams to align events with the company s mission and goals
- Oversee on-site execution, managing room control, crowd flow, and event operations
- Troubleshoot in real time to ensure smooth event delivery
- Maintain records using MS Office, Salesforce, Pathable, and Concur
Event Coordinator Requirements:
- 5+ years of progressive event planning experience with large-scale events
- Experience managing multi-day conferences, including venue selection, budget oversight, and logistics
- Bachelor s degree required
- Certified Meeting Professional is preferred
- Proactive, highly organized, and detail-oriented, with strong problem-solving skills
- Ability to travel ~10% of the time for event execution
