A leader in private-public partnerships and cutting-edge construction management, is seeking a highly skilled Administrative Assistant to provide top-tier support to their Chairman and Operations team in Orlando, FL. This is an exciting opportunity for a detail-oriented and proactive professional to thrive in a fast-paced, dynamic environment. The ideal candidate will possess strong organizational skills, anticipate the needs of senior leadership, and effectively manage multiple priorities with professionalism and discretion.

Administrative Assistant Responsibilities:

  • Provide high-level administrative support to the Chairman and Operations team
  • Act as a liaison between the Chairman and internal/external stakeholders
  • Manage calendars, schedule meetings, and coordinate travel arrangements
  • Draft, edit, and distribute memos, reports, and correspondence with attention to detail
  • Oversee daily administrative tasks, including handling mail, processing expense reports, and maintaining organized files and records
  • Process invoices and manage basic accounting-related tasks
  • Support proposal preparation and track key deadlines
  • Coordinate and oversee meeting technology, including video conferencing and other tools
  • Retrieve and summarize information from emails, minutes, and records as needed
  • Maintain and update schedules for vacations, meetings, and events

Administrative Assistant Requirements:

  • 3 5+ years in an administrative role
  • High school diploma required; bachelor s degree preferred
  • Proficiency in Microsoft Excel, Word, and Adobe
  • Exceptional written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to work independently and anticipate needs in a fast-paced environment
  • Flexibility and multitasking ability to adapt to changing priorities
  • Strong interpersonal and customer service skills
  • Background in the construction or project management industry is a plus
  • Experience with collaboration tools and file-sharing programs is preferred
