Job Description

An energy products company in Deer Park, NY is searching for a motivated and tech-savvy Administrative Assistant to be the first point of contact for the company and play a key role in ensuring the office runs smoothly. They are looking for friendly candidates with strong interpersonal skills, at least one year of experience in a receptionist or office admin role, and who are comfortable with technology. Salary Range: $50,000 - $60,000 / year DOE

Administrative Assistant Requirements:

  • At least 1.5 years of experience as a receptionist or office admin
  • Proficient in Microsoft Office Suite, particularly Excel (formulas)
  • Comfortable with technology and using CRM systems
  • Strong interpersonal skills and the ability to handle demanding customers with patience and professionalism
  • A pleasant and personable demeanor, with a proactive attitude and eagerness to grow
  • Experience in accounts receivable is preferred
  • Proficient in PowerPoint is preferred
  • Experience with QuickBooks Online is preferred
  • Bachelor s degree is a plus

Administrative Assistant Responsibilities:

  • Manage incoming calls and direct them to the appropriate departments
  • Prepare documents and PowerPoint presentations using templates
  • Assist with collections by making gentle reminder calls to clients and maintaining positive relationships
  • Support the onboarding process for new employees, including handling initial paperwork
  • Address customer concerns using your judgment when senior management is unavailable
  • Utilize and maintain Zoho CRM
  • Use QuickBooks Online for various financial tasks
  • Perform general office duties, including scheduling, filing, and managing office supplies
