Admin Assistant
Job Description
A construction contracting firm in Escondido, CA is seeking a sharp and reliable Admin Assistant to join their team! They are on the lookout for someone with at least 2 years of office admin experience who is punctual, adaptable and tech-savvy enough to learn ERP systems like Sage300 to ensure smooth office operations by supporting construction project administration and performing other clerical tasks. Salary Range: $24 - $26 / hour DOE
Admin Assistant Requirements:
- 2+ years of administrative office work experience (e.g., receptionist, clerk, office manager role)
- Construction experience is preferred
- Proficiency in Microsoft Office Suite (Excel, Outlook)
- Ability to review construction contracts and insurance certificates
- Tech-savvy with the ability to learn ERP systems (training provided for Sage 300)
- Experience with Sage 300 is preferred
Admin Assistant Responsibilities:
- Perform office clerical tasks, including handling and coordinating mail, filing, ordering office supplies, and maintaining a clean front office space
- Assist with reviewing contracts and project-related paperwork
- Ensure insurance renewals are completed on time
- Support new hire onboarding, including handling paperwork for approximately 2 new hires per week
- Answer phone calls from employees and clients, providing excellent customer service
- Organize files and submit certified payroll reports weekly
- File preliminary notices and handle other administrative duties as needed
