Job Description

A boutique event management and marketing company based in Pelham, NY is searching for a passionate and energetic Event Coordinator to join their team! This is an amazing opportunity to join a vibrant company that focuses on peer-to-peer events and managing logistics and fundraising, primarily for nonprofit clients.  They are looking for someone who will be responsible for planning and executing various events, from the first stages of planning through the day of the event.  The role involves managing vendors, coordinating with clients, handling logistics and overall ensuring that the event runs smoothly.  The position requires flexibility, as working on weekends and adapting to varying schedules is part of the job.  If you’re interested in becoming an integral part of a fun, positive, passionate and family-oriented company, where you’ll enjoy fun team activities with your co-workers and the sky is the limit for growth, then don’t miss out by applying today!

Pay Range: $65,000 - $80,000 DOE

Responsibilities:

  • Play a key role in event planning and coordination, ensuring smooth execution of all aspects
  • Vendor management for events, coordinating necessary permits, paperwork, and follow-ups
  • Organize virtual meetings with clients, prepare agendas, take notes, and manage follow-ups
  • Plan and manage 25-30 events per year for 10-12 clients, with some requiring travel
  • Provide end-to-end event planning, from inception to event day management
  • Adapt to the busy event schedule, focusing on attention to detail and coordination of multiple moving parts

Requirements:
  • 3+ years of experience in coordinating detailed tasks and logistics for events or similar programs
  • Proficiency in Microsoft Office and PowerPoint
  • Strong writing skills for clear, concise communication
  • Experience in Illustrator, Canva, and Publisher is a plus
  • Peer-to-peer fundraising campaign and production event experience is preferred
  • Bachelor’s degree is desirable
  • Must be high-energy, personable, and positive, with strong organizational and proactive skills
  • Excellent communication skills, both written and verbal
  • Willingness to work weekends and in various weather conditions
