Job Description

A privately held real estate investment and property management firm is seeking an on-site Executive Administrator to serve as the organizational anchor of its Sherman Oaks, California office. This individual will provide direct executive-level support to ownership, oversee day-to-day operations, coordinate HR and investor relations activities, and ensure smooth communication across a close-knit, long-tenured team. The ideal candidate is composed, organized, personable, and thrives in an environment where no two days are the same.

Salary Range: $125,000 – $150,000 / year DOE

Responsibilities:

  • Serve as primary liaison between the President and internal staff, ensuring priorities are clear and communication flows seamlessly
  • Manage correspondence, reports, and investor communications with accuracy and discretion
  • Coordinate scheduling, meetings, and logistics for leadership and company events
  • Oversee day-to-day office operations including supplies, vendors, and facilities
  • Support investor relations through document coordination, distributions, and partner communications
  • Manage annual insurance renewals, claims, and compliance requirements
  • Partner with HR consultant on recruiting, onboarding, employee relations, and compliance matters
  • Assist with financial and administrative functions including banking, documentation, and coordination with CPA and legal teams

Requirements:

  • Minimum 7–10 years supporting C-level executives within the real estate or property management industry
  • Strong financial acumen with comfort handling banking, acquisitions, insurance, and investor documentation
  • Experience in estate-related matters
  • Advanced proficiency with Microsoft Office (Word, Excel, Outlook); familiarity with Yardi preferred
  • Proven discretion in managing confidential and sensitive information
  • Exceptional organization and time management with ability to juggle shifting priorities
  • Steady, composed demeanor and strong interpersonal presence
  • Bachelor’s degree preferred
  • Notary public or willingness to become one
