Job Description

Position Title: Office Administrator

A growing manufacturing company is seeking an Office Administrator to support daily order processing, manufacturing coordination, shipping, and general office operations. This role will be responsible for entering and processing customer orders, coordinating with the production team, preparing shipping documentation, arranging outbound shipments, assisting with invoice reconciliation, and providing day-to-day administrative support.

The ideal candidate is dependable, detail-oriented, and comfortable taking ownership of their work. You do not need years of office experience or a college degree to succeed here, but you do need strong basic computer skills, sound judgment, professionalism, and the discipline to double-check your work before it goes out the door.

Responsibilities

  • Enter and process incoming customer orders accurately
  • Coordinate orders with the production planning team to support manufacturing schedules
  • Prepare shipping documentation including bills of lading and packing lists
  • Verify shipping documents against orders to ensure products, quantities, weights, and other details are accurate
  • Coordinate outbound truck pickups and assist with shipment preparation
  • Reconcile incoming invoices against purchase orders and assist with basic accounting-related tasks
  • Handle phones, email, Microsoft Word and Excel tasks and other general office administration

Requirements

  • Working knowledge of Microsoft Excel, Microsoft Word, and email
  • Strong attention to detail with the ability to proofread and verify work for accuracy
  • Dependable attendance and a consistent, professional approach to work
  • Ability to learn order-entry processes and internal systems
  • Strong communication skills with the ability to answer phones and communicate effectively in English
  • Ability to learn basic invoice and purchase order reconciliation
  • Willingness to work onsite and collaborate closely with manufacturing and shipping operations

Preferred Qualifications

  • Previous experience in a manufacturing or manufacturing-office environment
  • Exposure to shipping, order entry, or logistics coordination
  • Familiarity with bills of lading, packing lists, purchase orders, and outbound shipments
  • Previous invoice reconciliation experience
  • Demonstrated ability to perform administrative work with a high degree of accuracy
