Job Description

A trusted CPA firm specializing in audit and tax services is seeking a proactive and detail-oriented Office Manager/Executive Assistant to support its founding partners. This high-impact role ensures the seamless daily operation of the firm through office administration, client communication, billing, workflow coordination, and document preparation. The ideal candidate is a highly organized problem-solver who thrives in a fast-paced, small-office environment and is eager to elevate existing systems and processes through innovation and initiative.

Salary Range: $85,000 – $100,000 / year DOE

Office Manager/Executive Assistant Responsibilities:

  • Serve as a liaison between clients and CPAs for scheduling, document coordination, and communication
  • Proactively manage partner calendars and meeting follow-ups
  • Assist with onboarding new clients and respond to general inquiries
  • Prepare, edit, and finalize financial statements, tax filings, engagement letters, and client correspondence
  • Manage e-filing processes and signature tracking
  • Maintain file systems and oversee document distribution
  • Generate WIP reports and client invoices
  • Track AR, post cash receipts, and reconcile balances
  • Produce regular billing reports and manage invoice templates
  • Use Smartsheet to monitor audit/tax project status and deadlines
  • Coordinate internal staff workflows and escalate bottlenecks or delays
  • Manage supplies, equipment, mail, and vendor deliveries
  • Handle phones, filing, labeling, and scanning
  • Maintain a professional and organized office environment

Office Manager/Executive Assistant Requirements:

  • 4+ years of experience in office management and executive support, ideally in a CPA, financial services, or professional services setting
  • Experience with billing, AR, and client-facing communication
  • Strong proficiency in Excel, Word, and Adobe; spreadsheet-savvy with the ability to format and edit complex financial documents
  • Familiarity with financial statement formatting and tax return document handling
  • Highly organized, self-directed, and detail-oriented with strong follow-through
  • Confident communicator who can take initiative and offer process improvement ideas
  • Experience managing multiple priorities in a high-paced environment
  • Able to bring fresh ideas to improve workflows and suggest technology or AI-based enhancements
  • Knowledge of tax-exempt organizations and/or accounting concepts is a plus
