Job Description
A dynamic legal firm is seeking a strategic, proactive, and entrepreneurial Operations Manager to lead and elevate the firm’s administrative and operational functions. This is a high-impact role reporting directly to the Managing Partner, with responsibility for firm-wide operations, billing systems, HR/benefits coordination, vendor relationships, and process optimization. The right candidate will be a dynamic problem-solver who thrives in a boutique, high-performance environment and is ready to bring fresh perspective to a respected, tight-knit litigation firm. Salary Range: $100,000 – $130,000 / year DOE
Operations Manager Responsibilities:
- Oversee daily administrative and operational functions across two offices
- Track, manage, and improve billing practices across partners; follow up on outstanding client AR
- Evaluate and implement systems and software for operations, accounting, and reporting
- Assess and improve benefit plans, business insurance, building operations, and vendor contracts
- Act as the liaison between firm leadership and non-attorney staff; provide direct oversight of admin and paralegal support team
- Establish SOPs and streamlined workflows across all support functions
- Support the Managing Partner with meeting agendas, operational projects, hiring, and office initiatives
- Coordinate firm events and culture-building activities
- Create and manage reporting systems for billing, AR, and performance metrics
Operations Manager Requirements:
- 3–5+ years of operations or administrative leadership experience in a professional services firm
- Bachelor’s degree required
- MBA preferred
- Proven track record in optimizing operations, processes, and systems for growing organizations
- Executive presence and ability to manage up while collaborating across teams
- Strong understanding of billing, benefits, insurance, vendor management, and basic accounting oversight
- Technologically savvy; fluent in Microsoft Office, QuickBooks, and open to learning tools like Smokeball or other DMS/timekeeping systems
- Experience working directly with senior leadership and managing support staff
- Strategic thinker with exceptional communication and follow-through
