Job Description

Position Title: Office Administrator

Salary Range: $42,440–$50,760 / annually, DOE

This Office Administrator will be the face of a global logistics company serving the cruise industry, managing front desk operations while providing hands-on administrative and executive support, including calendar management, travel coordination, expense reporting, and office organization. The ideal candidate is polished, dependable, and detail-oriented with strong communication skills, solid computer proficiency, and the ability to stay organized when priorities shift. Previous office administration or receptionist experience is helpful, but attitude, professionalism and the ability to learn are more important than direct industry experience.

Responsibilities

  • Serve as the first point of contact for visitors, creating a professional and welcoming experience from the moment they arrive
  • Manage front desk operations including visitor sign-ins, badge printing, guest assistance, and conference room coordination
  • Support executives with domestic and international travel arrangements including flights, transportation and itinerary coordination
  • Manage executive calendars and scheduling through Microsoft Outlook
  • Prepare and process expense reports while handling confidential information with discretion
  • Order office supplies, monitor inventory, and keep the workplace organized and fully stocked
  • Provide responsive administrative support to leadership and the broader office as priorities and business needs evolve

Requirements

  • Strong proficiency with Microsoft Office, particularly Outlook and calendar management
  • Ability to confidently coordinate domestic and international executive travel
  • Strong organizational skills with excellent attention to detail and follow-through
  • Professional, polished communication skills and a customer-focused approach
  • Ability to handle sensitive and confidential information with discretion
  • Reliable, adaptable, and comfortable working in an environment where priorities can change quickly
  • Clear professional English communication skills, with Italian or Spanish language skills considered a plus
