Position Title: Client Service Associate
Salary Range: $70,000–$90,000 / DOE, plus an estimated 5%–15% discretionary annual bonus based on individual and firm performance
A growing boutique wealth management firm is seeking an experienced Client Service Associate to deliver high-touch service to high-net-worth families while managing critical account operations from start to finish. This role will oversee account openings and transfers, support client relationships, maintain CRM records, schedule meetings, coordinate with custodians, and ensure every request is completed accurately and promptly. As part of a close-knit eight-person firm, the Client Service Associate will also provide front-office and administrative support, including answering phones, preparing conference rooms, coordinating lunches, and maintaining office supplies. The ideal candidate has 5–10 years of client service experience within an RIA, deep operational knowledge of Schwab, and an exceptional command of detail. They are polished, proactive, intellectually curious, and relentless about solving problems while remaining positive and professional with clients, colleagues, and custodians.
Client Service Associate Responsibilities:
- Provide responsive, high-touch service and relationship support to high-net-worth individuals and families
- Support approximately half of the firm’s primary client families in partnership with the advisors and senior Client Service Associate
- Build genuine relationships with clients and provide thoughtful support during major life events, including births, deaths, and family transitions
- Open new accounts and manage account transfers through Schwab, LPL, and other applicable custodians
- Follow up persistently with custodians to resolve paperwork, account transfer, and money-movement issues
- Track every request, document, and outstanding item through completion
- Prepare and review account paperwork with exceptional attention to accuracy
- Maintain complete, current, and accurate client information within the firm’s CRM
- Schedule client meetings and coordinate calendars
- Prepare conference rooms for client meetings, including confirming that technology is functioning and presentations are ready for display
- Serve as the first point of contact for incoming phone calls, averaging approximately 10–15 calls per day
- Welcome clients and visitors with warmth, professionalism, and discretion
- Order team lunches, office supplies, and other necessary materials
- Receive packages and help maintain organized, client-ready conference rooms and common areas
- Support the broader team wherever needed in a small, collaborative firm where every employee contributes
- Remain flexible when early meetings or time-sensitive client needs require additional preparation or follow-through
Client Service Associate Requirements:
- 5–10 years of client service experience within wealth management or financial services
- Direct experience performing Client Service Associate responsibilities within a registered investment advisory firm
- Deep operational knowledge of Schwab and hands-on experience using Schwab as a custodian
- Experience with account openings, transfers, money movement, and custodian follow-up
- Strong proficiency with Microsoft Office, including the ability to use formulas in Excel
- High level of technical aptitude and the ability to learn new platforms quickly
- Exceptional attention to detail, particularly when preparing and reviewing financial account paperwork
- Strong follow-through and the tenacity to resolve complicated or delayed requests
- Polished written and verbal communication skills
- Professional judgment, discretion, and emotional intelligence when supporting high-net-worth clients
- Proactive approach with the ability to identify what needs to be done without waiting for direction
- Intellectual curiosity and a genuine desire to research unique client situations and solve complex problems
- Positive, friendly, and service-oriented personality
- Willingness to handle administrative and front-office responsibilities without viewing any task as beneath the role
- Ability to see both the larger client objective and the details required to execute it correctly
- Bachelor’s degree preferred
- Ability to pass a financial services background check
- Commitment to working onsite five days per week
